- Greet and assist visitors, students, and staff in a professional and friendly manner
- Answer and direct phone calls, manage emails, and handle general inquiries
- Maintain a tidy, welcoming reception and office environment
- Coordinate training schedules, planning, and student enrollments
- Manage student inductions and examination administration (internal & external)
- Prepare and issue quotations related to training and services
- Oversee office upkeep, coffee station readiness, and stationery stock control
- Handle filing, record-keeping, and document management
- Liaise with service providers to ensure smooth operations
- Assist with insurance administration for students and flight crew
- Supervise cleaning staff and ensure facilities meet professional standards
- Schedule and confirm appointments/meetings
- Distribute incoming and outgoing correspondence (emails, letters, packages)
- Maintain accurate records, logs, and databases
- Assist in organizing company events, training sessions, and internal activities
- Provide administrative support to management and staff as required
- Previous experience in a receptionist or administrative role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in MS Office (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Grade 12 Certificate
- Drivers License
- Namibian citizen
